Enriching Diversity

This page explains the purpose of the Enriching Diversity tool in Atlas, who should use it and the prerequisites for gaining access, and resources for learning how to use the tool and getting help.

Human Resources partners from around the Institute have worked together to go beyond compliance with Affirmative Action laws and regulations in order to enrich the diversity in MIT's Departments, Labs, Centers, or Institutes (DLCIs). One result of this work is a central location for data related to diversity and equal opportunity, called Enriching Diversity. The tool, available on Atlas, was designed to integrate Affirmative Action data into workforce decisions in order to help attract and retain a diverse and talented employee population. The tool serves three main purposes:

  1. to assist Affirmative Action Plan Administrators (AAP Administrators) in interpreting their Affirmative Action reports and in planning and tracking the actions they take to ensure equal employment opportunity;
  2. to provide diversity data as a basis for employment decisions; and
  3. to support the generation of Serious Search Reports when seeking approval to extend an offer to a candidate.

Who should use the Enriching Diversity tool

If you have HR responsibilities for recruiting or diversity and equal employment opportunity, discuss with your Affirmative Action Plan Administrator (AAP Administrator) whether you should have access to Enriching Diversity. If so, decide together which organizational unit(s) you need access to and the type of access:

  • AAP Administrators have access to detailed demographic data about employees and applicants across the AAP Unit (usually a School, College, or Area), and are able to enter, as well as download, Affirmative Action Plan data. This role is reserved for the person responsible for Affirmative Action planning for the AAP Unit and that person's backup(s).
  • Departmental Users have access to demographic details only for the employees and applicants in one or more specified HR Organizational Unit(s). For their AAP Unit as a whole, they see aggregate data. This role is appropriate for departmental human resources professionals, including recruiters.

Note: Whichever role you have, refrain from viewing demographic details of applicants for any positions for which you will participate in the hiring decision. 

Prerequisites for gaining access to the Enriching Diversity tool

Due to the sensitive demographic information displayed in the Enriching Diversity tool, the tool is available only to Human Resources professionals who understand the following:

  1. the meaning of underutilization, placement goals, and adverse impact. See the following resources:
  2. the necessity of ensuring that those responsible for hiring decisions do not see the self-identified sex, ethnicity race, veteran status, or disability status of candidates during the hiring process
  3. the principle that efforts to increase the number of women and minorities in the workforce must not advantage them over others.
    • Legitimate methods include, for example, proactively recruiting qualified women and minorities to apply for positions or to take professional-development courses to qualify them for promotion, training managers, expanding the number of qualified applicants who receive interviews, changing the selection process to remove bias, etc.
    • It is illegal to increase the diversity of the workforce by setting quotas, setting aside certain positions for women or minorities, selecting underqualified applicants, or otherwise making employment decisions on the basis of sex or race.

Requesting access

When you have approval from your AAP Administrator and have satisfied the prerequisites, request access from diversity-data@mit.edu and cc your AAP Administrator. Be sure to specify the organizational unit(s) whose data you will see.

Getting started and getting help

Once you have access, complete these steps.

Set-up instructions

  1. Reset your Data Warehouse password
    Unless you’re sure you know your Warehouse password (the one for Tableau, NOT Kerberos), reset it here.
  2. Log in to Enriching Diversity on Atlas
    1. Log in to https://atlas.mit.edu/.
    2. The following is a one-time step, so that you will be able to access the app quickly in the future:
      1. In the Menu box on the left, click Edit.
      2. Search by keyword: “diversity.”
      3. Click the plus sign to the right of Enriching Diversity.
      4. At the top of the screen, click Save & Exit.
    3. Click on Enriching Diversity in the Menu box.
    4. If you see a sign-in button, click on it to open a pop-up window. Otherwise, a pop-up window should appear automatically. If no pop-up appears, check the top and bottom of the browser window for a message where you can allow pop-ups for this website.
    5. In the pop-up window,
      1. Check off the “Remember my password” box.
      2. Login using your Kerberos ID and (new) Data Warehouse password. Colorful charts should appear.

Notes:

  • If you see this login pop-up window again on other tabs, be sure to click “Remember my password.” When you return to that tab, the login should happen automatically.
  • If issues arise, they can often be resolved by refreshing the browser.

Troubleshooting and support

If you're having trouble logging into the tool or are being asked to log in repeatedly, follow this guide:

Issue What to Do
You don't even get to the Tableau sign-in button Write to diversity-data@mit.edu describing where you get stuck and what any error messages say, ideally w/a screenshot.
Your Tableau password isn’t accepted (instead, you’re immediately asked again to sign in) OR You've forgotten your Data Warehouse password

Reset your Data Warehouse password. See IS&T's KnowledgeBase article for instructions. 

Don’t try over & over to log in, or your account will be locked. (See below.)

You receive an error message after trying to log onto Tableau, with the phrase “the account is locked” in the fine print

One possible message begins: An unexpected error occurred. If you continue to receive this error please contact your Tableau Server Administrator.
Oracle database error 28000: ORA-28000: the account is locked

Write to Tableau-help@mit.edu and ask them to unlock your account. Note: Tableau is very strict about too many unsuccessful password attempts, and it doesn't automatically unlock an account after a certain number of hours, the way most systems do.
You’re asked to sign in to Tableau repeatedly Check the "remember password" box on the Tableau sign-in screen. You’ll need to do this once per tab.
You see fewer candidates than you expected See "Show Disqualified Candidates" Toggle on the Requisition Tab.
You’re still having trouble Write to diversity-data@mit.edu describing where you get stuck and what any error messages say, ideally w/a screenshot.

If the troubleshooting steps don’t solve the problem, or you have other questions, please write to diversity-data@mit.edu, including

  • a description of what you were trying to do and what happened instead,
  • screen shots if possible, and
  • the text of any error messages.
