Use of Absence Type Codes on Timesheets

Dear Colleagues,

I am writing to inform you of a change to the use of the absence type codes on timesheets.

Absence types that are considered "serious illness codes" in the Workpartners leave administration process, for example, employee or family member serious health condition, serious illness reduced, parental leave, bonding leave, pregnancy/maternity, can no longer be selected on the timesheet by support staff employees or DLC HR administrators/time approvers. This includes all absence type codes with the exception of "sick" and "sick family," which are not considered serious illnesses. Note: this change does not apply to service staff employees.

All serious illness leaves need to be requested through Workpartners by the employee, leave supervisor, or DLC HR administrator. Once the employee leave request has been approved by Workpartners, the leave file will be sent to MIT HR and Payroll and loaded into SAP. The absence types will then be visible to the DLC and the employee as display only on the timesheet. If there is an issue with the leave dates or time reported, you should notify Workpartners to make the correction (1-833-852-2207).

  •   Consecutive serious sick leaves will be created in SAP with a leave action based on the start date of the case and corresponding return from leave action for the case end date. All absences for the duration of the case will be created in SAP and will not need to be entered on the timesheet.
  • Intermittent serious sick leaves are variable based upon the employee’s specific needs. Employees should request intermittent leave time with Workpartners in advance of the time taken; 48 hours before the time to be taken is recommended—otherwise the absence might not be recorded in SAP before weekly payroll cutoff which could affect the employee’s weekly paycheck.
