Absence Balance and Leave Administration Enhancements

February 18, 2021

Dear Colleagues,

I am writing to inform you of enhancements to the Atlas Sick Time Reporting (Salaried Paid Staff) application and to leave administration reporting capabilities.

Atlas Sick Time Reporting enhancements:
  • Salaried employees, both benefits-eligible and non-benefits eligible, are now able to see their current Sick Time Balance in hours.
  • The Sick Time Balance is updated based on usage for non-serious illness or medical appointments, and for serious illness leaves that deduct from the sick quota. Click on the Sick Time Balance in the Atlas application to see the Sick time entered this year, which reflects the sick time recorded for the current calendar year.
  • The Atlas Sick Time Reporting application is used to report non-serious illness sick time. All serious illness sick time must be reported:
    • Through February 23: To the MIT Disabilities Services and Medical Leaves Office at hr-dsmlo@mit.edu or (617) 253-4272.
    • Starting February 24: To our leave administration vendor Workpartners at (833) 852-2207.
  • A link to the new Leave Supervisor Maintenance application for DLC administrators who have authorization to update employee-manager relationships for their department(s). The Atlas Sick Time Reporting application and the Leave Supervisor Maintenance application will now share the same leave supervisor for all sick leaves and are also integrated with the APR transactions.

Note: Any prior employee-manager relationships maintained in the Atlas Sick Time Reporting tool are no longer available.

Leave Administration and Cognos report enhancements:

(Direct any authorization requests for these Cognos reports to your department's primary authorizer.)

  • A new Cognos folder under HR DLC Reports, Leave Administration, includes an enhanced Absence Balances report. This report allows DLC administrators to see all employee sick balances, including salaried employees, in the departments for which they have authorization.
  • The Leave Administration folder also includes two other new leave reports:
    • Department HRO and Leave Contacts: assists in identifying those in the DLC who will be notified of details related to employees on serious illness leaves. (DLC HR Primary and Secondary Contacts are maintained by central HR; send requests for changes to leaves-dlc-contacts@mit.edu.)
    • Employee Absence Reporting Supervisor and Work Schedule: assists in identifying the leave supervisor for all employees, along with employee work schedules.

If you have any questions, please email leavepolicies@mit.edu.

Sincerely,

Lianne Shields
